How to Set Up an Appointment Schedule in Google Calendar


If you’d like to allow clients and clients to book appointments with you for business or services, check out the appointment scheduling feature in Google Calendar.

Unlike Google Calendar Appointment Slots, Appointment Timelines lets you create and share pages for appointments. You can meet in person, over the phone, or use Google Meet. Additionally, both you and your customers will receive email notifications as confirmations and reminders.

There are many settings for appointment scheduling in Google Calendar. So let’s check out the basics of the feature so you can start using it!

Appointment Schedule Availability

Like many other Google Calendar features, appointment schedules are limited to certain types of accounts and certain platforms. If you are interested in using the appointment schedule, please check the following.

  • This feature is available if an individual subscribes to Google Workspace Personal.
  • Business Starter accounts do not have access to this feature.
  • Those with a work or school Google Calendar account can use an appointment schedule or appointment slot.
  • You can currently only set appointment schedules in Google Calendar on the web.

Enable appointment plan

If you normally see an appointment slot when you create an event in Google Calendar, you can turn on appointment scheduling in its place.

Go to Google Calendar and log in. Click the gear icon at the top and select “Settings”.

In the left navigation, select Appointment Schedule. Then, check the Create appointment schedule instead of appointment slot box.

You can uncheck this box at any time to use appointment slots again.

You can now start setting up your appointment schedule in one of two ways.

Click Create in the upper left corner and select Appointment Schedule.

Alternatively, click the date and time on your Google Calendar and select the Appointment Scheduling tab. Mark the option to create a new appointment plan, add a title, and click Continue.

You will then see the Bookable Appointment Schedules sidebar appear on the left. Here you will configure each setting for your booking.

Appointments must be at least 30 minutes long. Use the drop-down box to select the length of time you want each appointment to be. Use custom options for a specific time period.

Your appointment schedule has complete flexibility. You’ll see the days of the week listed, where you can choose a time frame for each day or only specific days. To add a day, click the plus sign; to remove a day, click the circle with the line. To save time, you can set a day and copy the time range to other days, using the copy icon.

Also, you can repeat your appointment schedule every week if you wish. Click the drop-down box at the top of the section and select Repeat Weekly.

Locations and Meetings

Choose an appointment location. You can choose from Google Meet video meetings, face-to-face meetings, or conference calls. You can also select “None” if you want to specify the location later.

You can choose to add a description that appears on your booking page and in email confirmations sent to your clients or clients. You may include an explanation of your service, mention a reminder email someone receives, or include a note about your privacy policy.

The booking form for your appointment requires the person’s first and last name and their email address. If you want to add additional fields, such as a phone number, expand this section and click Add Item.

Select a phone number or custom item, optionally make the field required, and click Add Item.

Email reminder

Another feature you’ll want to check out is email alerts, so expand that section. You’ll see that both you and the person who scheduled the appointment have received a confirmation email with an invitation to Google Calendar.

If you wish, you can check the box to send email reminders to your clients or clients. This is great for reminding them of an appointment a day or an hour in advance. You can also select a specific time frame, select “Custom” in the drop-down box, and include multiple by clicking “Add Reminder”.

Save your appointment schedule

When you’re done setting up your plan, click Save at the bottom. You’ll then see a new popup for you to visit or copy a link to your booking page, or view your booking schedule if you’ve set up more than one.

If you choose to book an event on your calendar, you’ll see the same window.
